All handling of your personal data is done in compliance with the General Data Protection Regulation (EU) 2016/679 (“Data Protection Legislation”). What are your rights?

Who is the Data Controller?

About our Processing of Your Data
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

Identity Data includes first name, maiden name, last name, username or similar identifier, marital status, title, date of birth and gender.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.
Complaints Procedure
1. Introduction
This procedure outlines the steps for submitting and resolving complaints within Buchanan’s Property Limited T/A 360 Properties. We are committed to handling all complaints fairly, impartially, and within a reasonable timeframe.

This procedure applies to all complaints received by Buchanan’s Property Limited T/A 360 Properties including but not limited to:

- Staff behaviour or conduct

4. How to Make a Complaint

5. Acknowledgement
Upon receipt of the complaint, we will acknowledge it within 4 working days. We will also inform you of the process and timeframe for investigating the matter.

The complaint will be assigned to an appropriate person or team to conduct a thorough investigation. The investigation process may involve:

- Contacting the complainant for further information if necessary
- Consulting with relevant parties (employees, departments, etc.)
7. Resolution
We aim to resolve complaints within 28 days after receiving all necessary information. You will receive a written response outlining the findings of the investigation and any corrective actions or solutions.
If the complaint cannot be resolved within this timeframe, we will keep you informed of the progress and provide an updated timeline.
8. Appeals
If you are not satisfied with the outcome of your complaint, you may request a review or appeal by submitting a formal appeal in writing within 4 days of the resolution. The appeal will be reviewed by a senior manager or independent party not involved in the original investigation.
9. External Review
If the complaint remains unresolved or you are dissatisfied with the outcome after an appeal, you may contact Property Redress Scheme.
10. Confidentiality
All complaints will be handled in strict confidence, and only individuals directly involved in the investigation will have access to the complaint details. Buchanans Property Limited complies with data protection regulations and will not disclose personal information without your consent, except as required by law.
